IPU Coordinator

Position Title:             Inpatient Unit Coordinator
Accountable To:        Chief Clinical Officer 

General Responsibilities:
The post holder will, through consultation, implement the optimal structure to deliver the best possible Hospice In-patient services. He/She will be a key member of the Clinical Coordination Team, with overall leadership and coordination responsibility for the In-Patient Unit. Working alongside the Inpatient Unit clinical team he/she will pioneer new service development, ensure that Palliative care is delivered safely and effectively, and promote best practice to ensure that the patient and family’s experience is of the highest quality. The post holder will also contribute to the strategic development of Hospice and its activities, helping to ensure that its services reflect and are responsive to current and future need.

Key Roles and Responsibilities:
1. In-Patient Unit Coordination and Development

1.1   To participate in the strategic development of clinical services as a member of the Clinical Team of Coordinators by promoting and sharing ideas; providing support to the other Coordinators and contribute to the review of activities and preparation of departmental business and strategic plans.

1.2   To coordinate the service and lead the staff on the Unit on a day-to-day basis, whilst ensuring the most appropriate staffing structure to support safe and effective care delivery.

1.3   To ensure compliance with all legal, regulatory and best practice guidelines; contribute to and apply Clinical Governance and Risk Management requirements for the Unit, ensuring that policies and guidelines are adhered to.

1.4   To assume responsibility for the management of the in-patient unit budget.

1.5   To be an active member in the appropriate recruitment, selection and retention of staff. This will include staff appraisal, performance and clinical supervision to ensure personal professional development and maximize the potential of all staff on the Unit.

1.6   To manage and respond to complaints and incidents through effective communication with patients, relatives and staff/volunteers, and ensure that potentially complex situations, conflicts and issues are investigated and resolved in a timely and satisfactory fashion. To liaise with Chief Clinical Officer and HR when required, to initiate disciplinary, grievance and complaint procedures.

1.7   To undertake the development/review of policies and procedures and any project work as required for Hospice in-patient service.

1.8   To ensure that all relevant information is documented clearly, accurately and in a timely manner on the appropriate systems.

1.9   To identify and respond to staff needs and ensure that support systems are in place.

2. Communication
2.1   To establish an open style of communication, ensuring effective sharing of information with all In-patient staff/Volunteers, other Departments and Management. This is to be made possible through active participation in internal and external meetings in a formal or non-formal manner, as appropriate as a representative of the Unit and / or Hospice Malta.

3. Clinical
3.1   To ensure a model of care which promotes excellence, while recognizing the unique needs of each patient, through working collaboratively with members of the multi-professional team as well as with the Quality and Education Committees. This will ensure that high standards of specialist palliative care are provided throughout the patient pathway, including effective admission and discharge procedures.

3.2   To promote a seamless package of care, including liaison with the Hospice community/Day therapy teams and external agencies, to enable patients to be managed in their preferred place of care.

3.3   Oversee all aspects of medicine management – ensuring medicines are appropriately received, stored, and administered to Hospice patients in liaison with the pharmacist.

3.4   To manage, investigate and learn from incidents that occur within the unit, creating a culture in which incidents are seen as an opportunity to improve as a whole team.

3.5   To maintain the highest Health and Safety as well as Infection Control standards.

3.6   To maintain patient, personal, and organizational confidentiality at all times.

3.7   To compile reports as requested by Chief Clinical Officer.

4. Education, Audit and Research
4.1   To keep abreast of current developments in specialist palliative care and the implications they may have for clinical practice.

4.2   To ensure proper orientation and continuous professional development, as appropriate for all in patient staff and students. To participate in clinical research in liaison with the education Department as requested.

4.3   To participate in any audit processes required, follow ups and rectification accordingly, and encourage all staff to embrace the opportunities gained from audit.

5. Other responsibilities
5.1. To always act as an ambassador for Hospice Malta, including representing the Hospice in public relations activities as requested.

5.2. To undertake any other such duties or general tasks and hours of work as may reasonably be required by the organisation.

Qualifications and Skills:
– Relevant 1st degree; with the attainment of the European Certificate in palliative care or equivalent will be considered an asset.

– Previous experience in a leadership role or as a Senior Nurse, a high level of clinical competence and ability as a reflective practitioner with the ability to supervise, train and evaluate employees as well as make good operational decisions under pressure.

– Experience of team work and team building through promoting effective working relationships in a multi-disciplinary Health Care environment.

– Experience in clinical audit, clinical governance and risk management issues.

– Has excellent oral and written communication skills motivating employees and making sure they know what is expected of them to meet and exceed targets and goals.

– Is highly organized, positive and flexible, of pleasant and calm manner with a ‘can do’ attitude, able to maintain records and produce clear reports and presentations.

– Able to deal with information in a confidential manner and respond with sensitivity.

– Awareness of, and commitment to the Mission, Vision and Values of the Hospice.
