Position title: Accounts and Administration Executive
Accountable to: Chief Financial Officer
Responsibilities include:
• Supporting Hospice in the management of financial and administrative duties.
• Compiling, drafting and proofreading documents for the consideration of management.
• Ensuring that records and statistics related to Hospice are accurate and up to date, as required.
• Processing incoming and outgoing mail and forwarding to the respective department
• Able to keep minutes of meetings.
• Processing of incoming donations and preparing documentation for bank deposits.
• Ensuring the organisation is fully equipped, regularly resourced, and prepares orders of office supplies.
• Inventory control.
• Posting of supplier invoices and preparation of payments.
• Liaising and coordinating reinsurance documents.
• Assist with end-of-month routine including bank reconciliations.
• Being responsible to monitor quotations, LPOs, invoices, and contracts for ensuring correct pricing.
• Perform any other required administrative duties as directed by the management.
Education and Experience:
• Have an O’ level standard in accounting or similar qualification.
• ECDL standard level required.
• Previous experience within a similar role for a minimum of two years
• Be prepared to work in a team and on one’s own initiative.
• Advanced knowledge of MS Office and accounting systems and
• Fluent in both Maltese and in English language
