Position Title: Care Team Administration Executive
Accountable To: Chief Clinical Officer
Responsibilities include:
- Preparation for administrative and clinical meetings including minute taking, inputting data, coordinating dates/times with all participants and sending invites, forms and the respective information for the meetings
- Preparation of reports for meetings of committees and subcommittees
- Carrying out administrative duties related to care policies preparation
- Inputting of data related to Education, Day Therapy and other clinical Depts.
- Compilation of clinical information and documents for monthly/annual reports; for budgetary purposes; for benchmarking exercises and for patient classification systems
- Checking of clinical data and reporting related to key performance indicators
- Updating of schedules including on call services, vehicle schedules and vehicle related issues
- Liaising with volunteer supporting the care assistant service re outsourced carer hours, invoice checking and reconciliation
- Liaising with IT/maintenance re IT hardware and software issues for the clinical team
- Perform any other required administrative duties as directed by the management
Qualifications and Skills:
- Previous experience within a similar role for a minimum of two years
- Very good organizational and multi-tasking abilities
- Very good knowledge of MS Office (ECDL certificate would be considered as an asset)
- Be prepared to work in a team and on one’s own initiative, practical and flexible
- Able to communicate effectively and fluent in both Maltese and in English language
- Familiarity with office procedures and working knowledge of office devices and processes
