General Responsibilities:
At this senior management position, the Chief Operations Officer (COO) will be in charge of two main pivotal functions of the organization. These include Human Resources (including volunteers) as well as Facility Management including all the non-clinical operations within the organization. Through these two branches, the COO will ensure that Hospice Malta’s operations are such that enable the organization to reach its strategy and objectives.
Through his/her team, the COO will manage this function and communicate with senior management to develop strategic operational goals and ensure the smooth running of the organization. The COO will be answerable to the Chief Executive Officer.
Key Roles and Responsibilities:
- The COO will communicate with the other Chief Officers as well as with the CEO to prepare a strategy, policies and procedures for operations to run efficiently. He / She will assist in developing long term plans to achieve the goals and objectives and ensure Integration of all departments within the organisation from an operational perspective.
- The COO will be responsible for the Human Resources element of the organization, including:
- Overseeing the duties of the Human Resources’ and the Volunteers’ Coordinators, ensuring that the HR needs of the organization are met.
- Promoting corporate values and responsible for all aspects of Human Resources practices and processes, ensuring that the organization has the right HR (including volunteers) to undertake the proper implementation of its strategy and objectives.
- Supervision of direct operational staff to manage daily operations, mitigate operational errors on a daily basis to continue driving processes forward.
- Being the person to contact when replacement of staff and rostering is required.
- The COO will be responsible for the non-clinical operations (facility management); including:
- Responsibility for the team that directly manages the entire operations.
- Overseeing daily operations and ensuring proper maintenance of equipment and facilities.
- Monitoring, reviewing and assessing the performance of the operations of both internal and external service providers; review maintenance agreement and assess possibility of improved long term benefits.
- Managing and building the (non-clinical) processes that are necessary to meet and potentially surpass the organisation’s goals.
- Responsibility for the upkeep of the facility, giving suggestions and allocating funds for the areas he/she is responsible for, through the preparation and oversight of the operational budget.
- Ensure adherence to health and safety measures for employees, patients and public in general
- Providing the organization with a work environment which is favorable for high work productivity.
- The prompt identification of issues and ensuring solutions to address problems in an efficient manner.
Qualifications and Skills:
The selected candidate will:
- Hold a qualification degree in Operations management, HR or a related field
- Hold a minimum of 5 years’ experience in this role
- Possess strong leadership skills and is able to supervise, train and evaluate employees as well as make good decisions under pressure
- Have excellent oral and written communication skills
- Be highly organised and flexible, able to maintain records, interpret data and produce clear reports and presentations
- Able to work in a team, have strong interpersonal skills and able to deal and coordinate with a diverse range of people
- Have a pleasant personality and is approachable to employees
- Be able to deal with information in a confidential manner and respond with sensitivity
